Introduction and Overiew

Email Broadcasts

To be able to send email Broadcasts from Smartech, there are a few prerequisites:

The domain that you would use to send the Broadcasts must be added to Smartech. To know how to do it, see Domain Settings.
Create/Upload the templates that you would use in your email. You can create your own custom templates if you wish. If you want to send text based Broadcasts, you can skip this step.

Types of broadcasts

  1. Regular Broadcast: is the most basic type of broadcast in which you either send text based content or HTML based emails.
  2. Split A-B Broadcast: You design two versions of the same broadcast, test it and determine the better one to be sent to the contact base.
  3. Dynamic Broadcast: is for personalising the email for each and every contact in the List.
  4. Birthday Alerts: are birthday mailers sent to the contacts. Once you set this broadcast, you do not have to worry about sending the birthday wishes every day.
  5. Follow Ups: are like regular broadcasts you can schedule to be sent at regular intervals. . Whenever a contact is added to the selected List, a follow up email is sent to the contacts.

Warm-Up

We would like to share you that there will be some DNS Settings shared by our Onboarding team, during the process of panel creation. These are some simple Domain-level changes which are required to be done on your domain control panel. You can check our video tutorials on Youtube for more details on how to configure DNS vendor-wise DNS Settings. Once these settings are configured, there will be a warm-up plan which will be shared alongwith the login details of your panel.

Warm up is a process of beginning email marketing with the goal of establishing a good reputation in the eyes of MSPs. When email is sent from a fresh IP and Domain, MSPs notice it immediately and start their evaluation. They keep an eye on everything like number of emails sent, responsiveness, hard bounces, abuse complaints, etc. So, it is best to begin with a very small number of emails and eventually find your way up.

Mailing should be done on Active data in batches/chunks, which will be shared by our team with the login details.

Essentials of a Broadcast

Before you start, you need to understand these basics of Broadcast.

Message Header:

  1. Sender Type: You can use different sender domains, sender names, and sender's email address for different ESP domains.
  2. Sender's Name: This name appears in the 'From' column of the Contact's email inbox. Ex: If email is sent from [email protected], and Sender's Name is 'CEO of XX Company', for the contact, it is an email 'From' the 'CEO of XX Company'.
  3. Sender's Email Address: The email address from which you want to send the broadcast. You need to add the domain in the Admin section<<Account Configuration<<Click on Edit corresponding to "Domain Name for Sending Emails"
    Reply-To Email Address: is the ID to which the recipient can send replies. It is not the ID from which email is sent.
  4. Tag: Broadcasts can be searched based on tags. So, add relevant tags to your broadcasts.
  5. Set User Limit: If you do not want to send the broadcast to all the contacts in the List, you can set a limit. The broadcast is then sent to those many contacts only.
  6. Enable ROI Tracker: The broadcasts can transform to transactions. If you wish to track that, check this option.

Message Content

  1. HTML version: You can either type in your test, or go to the source and code in HTML if you are good at it. Use the rich features in the editor to create beautiful content. There are a number of links that you can choose to include in the email body.
  2. Template Library: If you have your HTML template already designed and uploaded to Smartech, you can just select that here and sit back.
  3. Fetch URL: You wish to pull content from a URL, mention it here.
  4. SPAM Score: It is a rating system based on the most recent spam identification methods. The email content is checked by Smartech if it contains words that can cause the email to be treated as spam. A score is assigned to the email, and you cannot send it if it is beyond the threshold score of 15.
  5. Links: View in Browser, View in Mobile, etc. are links that you can embed in your email. Activities like unsubscriptions, forwarding, etc. can be performed by the recipient by just clicking on these links.
  6. CC List: If you wish to be sent a notification after the broadcast is sent, provide the ID here.

Test
If you wish to test the broadcast before actually sending it out to your contacts, you can do so by sending it to test email addresses.

Contacts
Here you can select the recipients of your broadcast. You can either send the broadcast to a selected List or Segment, or send it to all the identified contacts that you have in your contact database.

Extra:

Add/View Attachment Details: Add attachments with the email.

Filters: You can add filters on the List to which you are going to send the Broadcast. For example, if you do no wish to send the email to contacts whose email address belongs to gmail.com., then you can add a filter for the same. Also, you can select the suppress lists.

External Tracking:

This feature helps you identify the communication messages that attribute traffic to your website.

All you have to do is enable External Tracking while creating the broadcast/automation, and provide values to these five parameters: utm_source, utm_medium, utm_campaign, utm_term, utm_content. Whenever a contact visits any web page by clicking a link in the message, you would be able to track it. Hence, you can see exactly how much interest, traffic or revenue a broadcast/triggered message has generated. Enabling external tracking can give you better insights, and hence better control over attribution.

Schedule Broadcast:

Send later: If you just do everything to create the broadcast, but do not want to send it now, you can schedule the date and time at which the broadcast should go.

Slice and Send: At situations, you may not want to send the broadcast to all the contacts at once. You may want to send the broadcast to batches of contacts. To do so, you can select the Slice and Send option. This feature slices the contacts database to a size of your choice and enables you to define the duration over which you can send the broadcast, the frequency of sending, time and day of sending.
